SharePoint to the Rescue

A Germantown, Maryland, professional services company had a requirement to track and maintain their library of documents, index file shares and web sites, and create web-based forms. Their main issue was trying to organize the countless contracts, employee forms, and client documents. With standard file sharing it is often difficult to remember where the ‘final’ version of the documents are located.

CNS recommended using Microsoft Office SharePoint Server 2007 (MOSS). MOSS is a collaborative tool that allowed the client to create document libraries to store the latest versions of documents. It also provided a document process library where employees could collaborate on the document by checking it out, updating it and republishing it for others to work on. Using Microsoft InfoPath Forms Services, the users can create and pulish web forms, and the SharePoint Search Service allows indexing of file shares and web sites to enable users to quickly find the information they need.

A side effect of MOSS was the ability to create an intranet where announcements, employee documents, and shared calendars could be located. This helped the off site employees become more involved with the culture and organization of the company. These functions can also be connected to Microsoft Outlook 2007 for quick and easy management of calendars and tasks.

Overall, the IT project has been a success. It has helped organize the company documents, provided a way to communicate to remote employees, and has better utilized the resources within the company to increase their productivity.
